AI and your data
Fynix uses AI to read documents, suggest entries and explain your numbers. This page explains what it does, what it never does, and what happens to your data. It describes the Fynix app as it is being built. Nothing on this website uses AI on your personal information.
1. What the AI does
- Reads receipts, bills, invoices, bank statements and CRA notices, and drafts the entries they need.
- Suggests the account and tax code for each transaction, and matches bank lines to invoices and bills.
- Answers questions about your books in the AI Advisor, citing the ledger lines it used.
- Prepares drafts such as a GST/HST return, a month-end close checklist or a payment reminder email.
2. What it never does
- It never posts an entry to your ledger. Everything it produces goes to a separate drafts area.
- It never files a return, sends an email or makes a payment.
- It never skips the confirm step, at any amount or any confidence score.
3. Decisions stay with people
Fynix does not make decisions about you, your business or anyone else based only on automated processing. A confidence score only decides how much checking a draft gets: payroll, tax documents, anything of $5,000 or more and anything below 85% confidence always go to full review. Every posting records the person who confirmed it and the time.
4. What data the AI sees
To read a document, the AI receives that document. To answer a question, it receives the ledger lines needed to answer it. It receives only what the task needs, and only for your company.
When you correct a draft, Fynix stores the correction for your company so the same mistake is less likely next time.
5. AI providers
Fynix uses outside AI model providers to do this processing, chosen task by task. Before launch, we will list on the service providers page each AI provider, what it receives, where it processes data, how long it keeps it, and whether it may use it to train its models.
Some providers may process data outside Canada. While your information is outside Canada, it is subject to the laws of that country. Before sending personal information outside Quebec, we assess the privacy risks as Quebec law requires.
6. Accuracy and its limits
Each document field is read at least three times and gets its own confidence, and the math is checked after every reading. Even so, AI can be wrong, which is exactly why a person confirms every entry. AI answers are information about your books, not accounting, tax or legal advice.
